Subject: AUE Bolton Event 2025 – Organising Committee

Attendees: Saroj Das, Harsh Arya, Bichitra Das, Pawan Jain, Pankaj Mishra, Suresh Rao

Agenda: Progress Update – AUE Bolton Event 2025

1. Registrations – Pawan Jain, Organising Secretary

Registration progress has been limited due to confusion over the event duration and fee structure. The committee confirmed that this is a one-day event, taking place on Saturday, August 30, 2025.

• An optional pre-event dinner will be hosted the evening before, offering an informal platform to address final preparations or concerns.

• Members may also opt to go sightseeing the following day (August 31) at their own expense, with logistical support from the Organising Committee.

To boost registrations, the following promotional strategies were agreed: a. Share information and group photos from previous events on WhatsApp and official websites. b. Emphasise the accessible fee for this single-day event (especially when compared to the American AIIMSONIANs' $800 fee for a 3-day event, excluding accommodation). c. Leverage the contact database of over 100 members for outreach via phone and email. d. Extend invitations to AIIMSONIANs based in Europe and the Middle East.

2. Photography and Entertainment

• A photographer has been arranged to cover the full day at a reasonable cost.

• DJ services will be provided by Holiday Inn as part of the venue package.

3. Invitations for Chief Guest and AIIMS Officials

• It was unanimously agreed to invite Professor Sir Iqbal Singh, Vice Chancellor of Bolton Medical School, to be the Chief Guest.

• Formal invitations have also been sent to the Director, Research Dean, and other officials from AIIMS New Delhi.

4. Social & Academic Programme

• Pawan will coordinate the evening banquet and social event, with creative support from the highly talented Sailesh Mishra (Newcastle).

• A preliminary programme for the evening will be shared by the end of next week on the website and WhatsApp.

• Daytime activities, including the academic session, will be led by Suresh, Pawan, and Pankaj.

  • Proposed content includes:

    • Showcasing member achievements

    • Sharing clinical or professional experiences

    • Discussing topics of global relevance

    • Promoting mentorship for trainees and younger members

• A detailed schedule will be drafted for presentation at the next meeting before wider circulation.

5. Engagement with AIIMS Delhi

• The committee discussed outreach strategies to build interest and participation among AIIMSONIANs in Delhi.

• Pawan will explore specific promotional opportunities through contacts at AIIMS.

6. Any Other Business (AOB)

Although there was no AOB raised, this is just a reminder that the Annual General Body Meeting (AGM) will be held during the Conference. So, everyone knows this is a legal entity with govt rules & regulations to follow and we have internal governance hence the importance of membership subscriptions, participation & voice to be heard, minuted and recorded for future actions.
